HR Co-Ordinator

This role forms part of the Human Resources team within the Village n Life Group Services structure.

The Role

The HR Co-Ordinator is responsible for coordinating and delivering consistent HR administrative support across assigned Village n Life properties. Working closely with the Human Resources Manager and the broader HR team, this role ensures that HR processes, documentation and employee lifecycle administration are completed accurately, timeously and in accordance with company policies, legislation and best practice.

The role plays a key part in maintaining HR compliance, supporting recruitment, onboarding, employee relations administration and reporting, while ensuring property teams receive professional and efficient HR support. Success in this role requires exceptional organisation, attention to detail, confidentiality and the ability to build positive working relationships across multiple departments and properties.

Key Responsibilities

Coordinate HR administration across assigned Village n Life properties, ensuring accurate and timely processing of all employee documentation
Maintain complete, accurate and audit-ready employee files, both digital and physical
Coordinate onboarding, contract administration, transfers, promotions, amendments and termination documentation
Ensure HR policies, procedures and standard operating procedures are consistently applied across assigned properties
Maintain HR trackers, registers and employee records to support reporting and compliance requirements
Prepare HR correspondence, employment confirmations, contracts, letters and supporting documentation
Coordinate recruitment administration, including vacancy tracking, CV screening support, interview scheduling and recruitment documentation
Prepare interview packs, reference check documentation and candidate onboarding packs
Support new employee onboarding by ensuring all documentation is completed before payroll deadlines and employees commence work
Assist with induction coordination and ensure new employees receive the required HR information and documentation
Coordinate offboarding administration, including resignations, terminations, exit documentation and payroll submissions
Support Industrial Relations administration by preparing disciplinary documentation, notices, meeting packs and tracking case progress
Assist the HR team with employee relations administration, investigations and compliance documentation where required
Monitor HR compliance against company standards and legislative requirements, identifying risks and escalating concerns appropriately
Compile HR reports, statistics and administrative information for management and the HR department
Liaise with Payroll to ensure accurate employee information and payroll-related submissions
Maintain confidentiality of employee information while delivering professional HR support to managers and employees
Build effective working relationships with operational teams to ensure responsive and consistent HR service delivery
Support HR projects, audits and continuous improvement initiatives across the Village n Life portfolio

What We’re Looking For

Grade 12 / Matric
Relevant tertiary qualification in Human Resources, Industrial / Organisational Psychology or People Management (Diploma or Degree preferred)
3–5 years’ experience in HR administration or HR coordination
Hospitality or multi-site HR experience will be advantageous
Sound knowledge of the Basic Conditions of Employment Act (BCEA), Labour Relations Act (LRA) and general South African labour legislation
Experience coordinating recruitment, onboarding and employee lifecycle administration
Exposure to HR Information Sy

stems (HRIS), HR reporting and payroll administration
Excellent organisational and administrative skills with strong attention to detail
Strong written and verbal communication skills
Ability to prioritise multiple tasks and meet deadlines in a fast-paced environment
Professional, confidential and service-driven approach
Strong relationship-building and stakeholder management skills
High level of integrity, accountability and discretion
Proficient in Microsoft Office, particularly Excel, Word and Outlook
